The Executive & Training Specialist works closely with the ADC leadership team to organize leadership initiatives, prepare communications and materials, coordinate meetings, and keep key processes moving forward. The position also helps plan and coordinate statewide virtual and in-person trainings, including managing logistics such as scheduling, vendor and guest speaker coordination, training communications, and tracking and reconciliation of training expenses.
The position requires strong written and verbal communication skills, excellent organization, attention to detail, and comfort working with a variety of leadership styles and technology tools. The Executive & Training Specialist must be able to manage multiple priorities while exercising sound judgment and discretion.
Essential Functions of the Position
- Support executive leadership through calendaring, meeting coordination, and preparation of agendas and briefing materials.
- Coordinate ADC commission meeting materials and assist with meeting logistics, support, and documentation.
- Organize information and documents so leadership can easily review materials and make informed decisions.
- Maintain confidential personnel and administrative documentation with professionalism and care.
- Review and edit documents for clarity, grammar, and accuracy before distribution.
- Assist with agency communications, including preparing announcements, posting materials to the website, and sharing updates with contractors or staff.
- Help streamline workflows by using technology tools that support document management and communication.

Coordinate logistics for virtual and in-person trainings, including scheduling, venue coordination, materials preparation, and participant communication.

Serve as the technical host for virtual trainings, including managing Zoom meetings, breakout rooms, participant access, and troubleshooting.

Prepare and format training materials, communications, certificates, and other resources.

Post training information and resources to the agency website and learning platforms.

Track continuing legal education (CLE) registration and documentation.

Coordinate vendor communications, reimbursements, and other logistical needs related to training events.

Maintain training calendars, registration forms, and shared training records.
